Whats New
The last couple of years weve averaged a new improvement every week or
two. Some are more important, more helpful than others. But overall TradeWorks
has scored very high in the development and upgrading of our software.
These are some of the changes and additions that we hope will make your
life a little easier:
Release 8.0
The really terrific enhancement in 2003 is the Showroom Inventory Sales
Invoicing, which streamlines the whole process of selling products from
your office or showroom. From the Buyers Client Screen, just enter e few
key pieces of information, and TradeWorks will post the buy and sell, print
2 invoices, and properly charge the buyer the correct sales tax. We loved
it over the Holidays!
But there were many enhancements, including:

Youve been asking for it for quite a while, and now its here
Introducing the Pop-Up To-Do List
Those of us who hate paper really love this. When you log on to TradeWorks,
your To-Do List (TDL) is the first thing youll see, with reminders to
follow up on things like phone calls, trades in progress, requests, travel,
long-term authorizations, or your dentist appointment.
How does it work? Its very simple. In the Contact Log, Authorizations,
Client Requests, Possible Trades, Travel and Telemarketing (F2, F3, F9,
F10, SF5 and Menu33) youll see a Follow-Up Date (abbreviated FU Date,
no insult intended). Simply key the appropriate target date and save (F5).
In each area you must have entered an item (phone log, client request,
authorization, etc.) For your convenience, no need to use the + key when
entering the target date
TradeWorks will jump fields as you key. When
that target day comes around, youll see all your follow-ups pop up when
you log on. Follow-Up Date is new in most of these functions.
From any Client Screen (CS), press F12 and #2 to access your TDL any time.
From here you can scroll from day to day, delete items, and create a new
item that isnt linked to a particular function, like the phone log. For
example, you might create a memo when you have that dentist appointment,
or to calendar a staff meeting. Here, and here only, you can create a memo
using todays date. If at 10am you create a note to call Harry at 4:30,
youll see this item on your TDL. Of course, at some time today you need
to take a look at the List, because it doesnt beep, or honk or say Youve
got Memo. You can also create a memo item that will appear on another
persons TDL. Perhaps you took the call, but another broker will be following
up. The screen looks sort of like this:
The TDL is completely functional, even if you dont see it pop up when
you log on. Simply use the F12 #2 access.
If you want the TDL to pop up at log-on, type in TODO on the Default Procedure
line in SECEDIT for each TradeWorks user in your office (about 20 seconds
per person - not a tough job). Call Danny or Lisa if you dont know what
this means.
Other Enhancements:

When youre creating an ASCII file for a spreadsheet or for mailing, you
can now sort by client Ranking. Menu 16 #14 #1 and Menu 16 #14 #3

Declined Authorizations:
-
The Search (F1 from any CS) has been expanded to include Declined Authorizations.
Now brokers can more quickly, easily and regularly review authorizations
that have been declined, so they can follow up to save the deal. F1 SF9

From the Declined Authorizations screen you can now jump directly to the
CS, so you can quickly review a clients information. Menu 3 #10 or Menu
10 #6 or F1 SF9

The Display Screens now show History Summary by Office (Menu 10 #18) and
M-T-D Totals by Office (Menu 10 #4)

From the CS, SF1 #4 allows you to see recent changes to the Clients master
information. If a user can't change credit card data, (s)he can't see the
changed numbers. (Security for the credit card information in the Travel
Section is on the drawing board.)

New display on CS highlights top clients for last 12 months. The parameter
is set to show the top 10%. If youd like a different ranking, change the
percentage in your Exchange Master. Menu 11 #2 screen 7

How does this ranking differ from the ranking you see on the CS, next to
Total, Last Year and Y-T-D? It is a rolling calculation representing the
most recent 12 months trade activity. The Total ranking compares the clients
total trade activity from membership date; Last Year compares the clients
trade activity last calendar year; Y-T-D compares the clients trade activity
for the accumulated months of this calendar year. The lavender bar ranking
includes the immediately prior 12 months (July 1 through June 30, for example).
This ranking is refreshed and updated every time you run the Overnight
Procedure - another good reason to run it every night. In all cases, the
trade activity is the average of sales and purchases, compared to other
active clients - not compared to closed accounts or company accounts.

Have you ever looked at a CS and noticed that the client ranks as #3? And
you idly wonder who #1 and #2 are? Now you can find out. From any CS the
Search now includes current ranking. F1 SF11

If you use the Prepaid/Temporary BarterCard feature, you may know that
from the Prepaid Card Menu you can add $ to a Prepaid Card, and the computer
will post the purchase in the buyers account automatically. (Menu 16 #10
#15) Additions to Prepaid Cards now show in the Prepaid Card History. F1

When you need to reprint statements for a client for prior months, your
choices include the most recent 24 months, and you can reprint up to 12
in a single selection. (Previously you could choose from 24 months, but
only select/print 1 month at a time.) Menu 16 #6 #3

If you need to list clients whose PIN is not the same as the last 4 digits
of the Federal ID#, choose Menu 18 #21 #5

Need help keeping track of referrals? The Client List by Membership Date
now includes the name of the referring client. Menu 6 #18

Right now, if you charge a client miscellaneous cash fees for postage or
travel or a returned check, etc., AND the client makes a payment, those
miscellaneous cash fees are considered paid first, even if the client owes
fees from months past. If youd like to set the system so that the oldest
fees are always considered paid first, make a simple change in the Exchange
Master. Menu 11 #2 screen 7, 12th item from the top (you might want to
call Danny on this one)

If youre like us, you fax from your desk several times a day, and you
often use your fax cover sheet which, hopefully, has your logo and company
information at the top. You may know that in TradeWorks you can have as
many as 4 fax cover sheets. Previously you could assign a default fax cover
sheet by exchange. Now you can assign a default cover sheet by employee.
This is handy for multiple offices or departments. For example, you might
want a different fax cover sheet for your travel department. TRSYSTEM file

I adjust credit lines in our office using the computer to do the heavy
lifting. If youve never done this before, its very nifty. You simply
tell the computer to look at the last # months, then multiply or divide
to achieve the formula you want. Danny has added a credit line maximum.
For example, for some of my clients I tell the computer to set the credit
line to 25% of the most recent 12 months trade sales, to a maximum of
$2500. The whole process takes about 60 seconds, and Im done. Menu 6 #22

Youve been able to fax a client history using SF8 for many years. Now
you can fax purchases only (SF8 #2) or sales only (SF8 #3). Option #3 is
handy for clients who are doing their taxes and cant find the 1099B.

If youre using the Authorization feature that forces you to provide a
reason whenever you override, owners and managers may be frustrated. Now,
if you have Security level of 9, you can simply use F5 without entering
a reason. All others who have the override privilege must still provide
a reason, by code or by descriptive comment. F3

For more complete reports, you can now include Zero Balance Clients on
the Aged Fees Receivable report, and you can print with selections. Menu

Prepaid Cards can now be 7 digits, no matter what your normal card number
